LOGISTIC / YARD ADMINISTRATOR
The Logistics/Yard Administrator is the center of a fast-paced strategic environment, reporting to the Yard Manager, and is responsible for the overall dispatch of our fleet and is the central liaison for administration, communication, safety and orientation for our fleet and yard staff. The Logistics/Yard Administrator is also required to:

Ensure maximum fleet efficiency by monitoring freight movement through effective communication with drivers, sites and vendors

Oversee scheduling for drivers; coordinate and regularly update drivers’ logs; build driver loads to ensure dispatching can continue to run as planned and on schedule for both internal and 3rd party (ie. FNG) trucking

Process, coordinate and upload material request forms (MRF) and equipment transfers received from site within our inhouse equipment management system (Hilti)

Schedule vehicles for service and maintenance according to vehicle maintenance logs and ensuring proper records are kept and filed accordingly

Assist in orientating new drivers to fleets and accounts and other scheduling expectations

Collect, administer, track and upload various supporting documents including packing slips, fuel receipts, weekly inspections, daily man-counts, and timesheets

Comply with all WorkSafe (WCB) procedures and safety practices including on site work practices and guidelines

Provide safety support by collecting and uploading daily PSA’s; performing site and equipment inspections; updating story boards, lessons learned, SOP’s; and assists with facilitating tool-box meetings and maintaining statistics on workplace accidents in the yard and applicable investigations

Assist in onboarding employees hired in the yard by providing them with an on-site and safety orientations

Attend and take minutes for staff meetings
SKILLS AND EXPERIENCE:

College Diploma or equivalent, Bachelor's degree is considered an asset
-
Minimum 2 years dispatching experience

Experience within Transportation or Logistics industries is considered an asset

Proficient with MS Suite – Outlook, Word and Excel and previous experience working with related spreadsheets and an information database

Knowledge of construction industry and/or concrete forming preferred

Knowledge of WorkSafe (WCB) procedures/safety practices

Creative and effective problem solving, reasoning and decision-making skills

Excellent interpersonal skills and dedicated commitment to providing superior, timely support for all levels of employees, management and external vendors and clients

Ability to clearly identify the project sites’ current and future needs and present effective transportation solutions to them

Ability to work well under pressure and manage urgent situations that may prevent on-time delivery due to unforeseen circumstances and a subsequent ability to manage changes “on-the-fly”

Ability to communicate effectively and positively while under pressure and time constraints

Ability to work well with others with minimal supervision and as part of a collaborative team

Must be highly organized, able to multi-task and work in a fast-paced environment

Must have personal protection equipment (PPE) and a reliable means of transportation to job sites

Must be able to work outdoors on occasion in adverse weather conditions

Must be willing and able to work overtime as required

Must be reliable, dependable and detail-oriented
